Your Travel Designing Services
Travel Designer: Tegan Bombard (“Designer”, “we”, “us”, “our”)
Client: The person or entity contracting the Designer’s services (“you”, “your”, “Client”)
1. Scope of Services
We provide travel designing/planning services including: itinerary design, vendor & supplier booking support, coordination of travel components (cruise, resort, tours), communication support, consulting, and, for premium packages, on-site assistance during retreats or group travel.
We act as an intermediary between you and third-party suppliers (cruise lines, hotels, tour operators, ground transport, etc.). All actual travel services are provided by those third-party suppliers under their terms.
2. Booking, Payments & Fees
A non-refundable deposit may be required to begin work. The amount depends on the package level and group size, and will be stated in your quote.
Full payment must be received by the date specified in your invoice to secure bookings. Delayed payment may lead to cancellation of reservations or forfeiture of the services.
Our service fees are separate from costs charged by suppliers (like cruise lines, hotels). We will disclose all known fees and costs up front.
3. Cancellation & Refund Policy
If you cancel after services have commenced, you are responsible for any non-refundable payments already made to suppliers plus any work already done by us, per the package selected.
Refunds for services (our fees) will be handled according to the package level; typically, once planning has started, service fees are non-refundable.
Supplier cancellation/refund terms also apply. If suppliers deny refunds, we cannot guarantee full reimbursement to you.
4. Changes & Modifications
You may request changes to your itinerary or other components. We will exert reasonable effort to accommodate changes, but changes may incur additional fees or supplier rate changes.
Any changes close to departure may have limited options and higher costs.
5. Client Obligations & Accuracy of Information
You must provide accurate, complete information (names, birthdates, passport/visa details, special requirements, etc.). Errors may cause delays or extra costs, which you are responsible for.
You are responsible for obtaining and maintaining valid travel documents, passports, visas, vaccinations, travel insurance, and for complying with health & safety regulations, both in the U.S. and foreign jurisdictions.
6. Insurance & Risk
We strongly recommend travel insurance for all trips. Insurance must cover trip interruption, cancellations, medical/emergency evacuation, baggage loss, etc.
If you decline insurance, you accept the risk of financial loss.
7. Limitation of Liability
We are not liable for events beyond our reasonable control (force majeure) such as natural disasters, governmental restrictions, pandemics, weather, mechanical failures, strikes, etc.
We are not responsible for supplier failures (e.g. hotel-quality, delays, cancellations) beyond what their terms allow.
Our liability for any claim arising out of our services is limited to the amount of fees paid by you for the specific services which gave rise to the claim.
8. Termination of Services
We reserve the right to terminate our engagement if you violate these terms, fail to pay, or behave inappropriately. In that case, you remain responsible for all costs incurred up to termination.
9. Dispute Resolution & Governing Law
These Terms are governed by the laws of the State of Florida. Any dispute shall be resolved in [Lake County, Florida] or as mutually agreed.
If a dispute arises, we prefer to try mediation first. If mediation fails, then either party may pursue legal remedy.
10. Privacy & Data Use
We will collect your personal data to provide travel design services. Personal data may include name, contact info, passport info, health information (if needed for travel).
We will securely store and protect your data; we will share it with third-party suppliers only as needed for your bookings.
We will not sell your personal data.
11. Changes to Terms & Conditions
We reserve the right to update or modify these Terms & Conditions at any time. When we do, we will post the revised version on our website (or send to you) and they become effective immediately or as otherwise noted.
12. Entire Agreement
These Terms & Conditions, together with any proposal, package description, quote, and relevant invoices form the entire agreement between you and us. They supersede any prior understanding or agreements (written or oral).
